What is an Audit ID?

Every physical item in an Inventara audit is assigned a unique Audit ID before the audit begins. The ID is generated by the system and verified as active before any inventory record can be committed, so nothing reaches the inventory without a valid, verified, active Audit ID.

How do I scan a box label with my phone?

Open the Scan workflow, select your project, then point your phone's rear camera at the Audit ID label on the box. The system reads the ID, verifies it is active, and then guides you through product capture, condition grading, photos and a final review.

What happens if I lose connection while scanning?

Scans are captured offline-first. When your device has no connection, completed scans are queued locally and synced automatically once connectivity returns. The Sync Centre shows any conflicts for resolution.

Can I group multi-box items together?

Yes. Items with several boxes are grouped under a shared reference (for example Box 1 of 3, Box 2 of 3, Box 3 of 3) while each box keeps its own unique Audit ID.

How do reports work?

Reconciliation and inventory reports are generated on demand and can be downloaded as branded PDFs. Clients can access read-only reports for their own projects through the Client Portal.

How long is my data kept?

Account data is kept while active and deleted 90 days after deactivation. Audit and inventory records are kept for the project's lifetime plus 7 years. Photo evidence is deleted 90 days after a project is reconciled and closed. Technical logs are kept for up to 12 months. See our Privacy Policy for full detail.

Who can access my audit data?

Access is controlled by role and project assignment. Users see only the projects they are assigned to. Client Portal users receive read-only access to reports for their own projects.
